The UCRC is a collaborative partnership formed in 2013 between the Ministry of Health and the Ministry of Higher Education of Mali, the University of Sciences, Techniques and Technologies of Bamako, Mali (USTTB), and the, National Institute of Allergy and Infectious Diseases of National Institutes of Health, Bethesda, Maryland. 
This collaborative partnership aims to
Facilitate the development of a coordinated clinical research program in Mali
Enhance the existing clinical research programs and facilitate their growth and sustainability
Stimulate clinical research in West Africa that is guided by international standards and principles
Develop an excellent research environment that will foster collaborations and attract researchers worldwide
The UCRC Administrative Assistant provides administrative and secretarial support to the UCRC and is accountable to the UCRC Director. It is expected that the UCRC Administrative Assistant will dedicate approximately 40 hours/week (5 day/week or 100% of full-time effort) for this position. The position will be based at the USTTB Bamako, Mali.
Key Responsibilities:
Communication
Assisting the leadership team in the organization by promoting effective team work and communication between the UCRC committees, staff, University staff, upper management, and administrative staff
Operational planning and Management
Manage the day-to-day correspondence of the organization, answering incoming phone calls, and scheduling appointments for the UCRC Director.
Maintain an organizational system to provide regular communication (verbal and email) for updates of the Governing Board, Executive Committee and UCRC activities
Enforce UCRC policies and procedures in cooperation with senior management
Meet with other administrators, the UCRC Director, and Deputy Director on a regular basis to facilitate collaboration and communication
Review center activities and recommends changes in, or better utilization of facilities, services, and staff
Assist with receipt and reconciliation of orders including confirming receipt of orders and communicating information to the appropriate personnel
Organize logistics for meetings, conferences, or workshops
Maintain records in accordance with policy and procedures with daily review for accuracy and quality
Establish and maintain communication as the liaison between UCRC and outside organization parties
Follow current purchasing and inventory control procedures
Prepare necessary operational reports
Community relations
Assisting to establish good working relationships and collaborative arrangements with community groups, funders, researchers, and other organizations to help achieve the goals of the organization
Desired Education and Skills:
Education
Bachelor’s degree and at least 5years related administrative and secretarial experience
Knowledge, skills and abilities
Demonstrated experience and skills in administrative and secretarial skills
Bilingual, proficient in French and English
Attention to detail, follow up on tasks, and skills.
Knowledge of Microsoft software applications (Word/Power point/Excel)(in windows setting).
Proven ability to effectively organize logistics for meetings, conferences, or workshops
Working knowledge of Malian Government systems and regulations
Demonstrated excellent written and oral communication skills
