Report to: Sponsorship Operations Coordinator
Start date : January 1, 2011
Duration : One year with possibility of extension
Duty station: Bamako.  
OVERVIEW OF POSITION
Save the Children’s Sahel Country Office is seeking qualified applicants to fill in three position of sponsorship Operations Officers. Overall, the incumbents will be responsible for liaising with sponsors, Home Office, Country Office and field offices, maintaining high quality sponsor servicing and managing child information in full accordance with Sponsorship Policies and Procedures Main duties include:  
Sponsor Servicing, Communication, Translation and Documentation
– Respond to all sponsor and Home Office e-mails and queries in a timely and accurate manner
– Prepare and mail the Director and children’s welcome letters to new sponsors
– Mail thank you notes special cash donation makers
– Organize and participate in sponsor visits
– Translate all sponsor/child correspondence from English into French and vice versa in a most accurate manner
– Acknowledge receipt of packages, mails and e-mails from sponsors
– Keep all copies of correspondence between child and sponsor in child files
– Organize, follow up on and confirm mailing (via DHL, UPS, snail mail, e-mail, etc.) to and from various locations
– Field-dispatch and follow up on all sponsor correspondence and special requests
– Ensure child replies are received from the field, logged and mailed to sponsors on time
– Prepare and submit incorrect sponsor mailing addresses to Home Office
– Reconcile child files and culminate duplications and redundancies. ASISt (Automated Sponsorship Information System), child update management and policy enforcement  
– ASISt-enter all requests from sponsors
– Print Annual Family Update (AFU) forms and digital pictures
– Ensure that all AFUs are completed and properly logged in ASISt
– Process all up and downstream transactions
– Generate all special cash donation-related thank you letters
– Ensure a backup copy of sponsorship data is available every day and before each stream exchange
– Keep copies of all replies in child file
– ASISt-enter new Case Histories
– Change child status as appropriate in ASISt
– Reconcile correspondence monitoring tools
– Update child files based on termination, transfers and new assignments
– Ensure the Sponsorship Policies and Procedures manual (including the Child Safety Policy) is translated into French and constantly updated
– Translate and distribute updated sections of sponsorship policies and procedures as appropriate.
Miscellaneous
– Request and keep track of office supplies for smooth sponsorship operations
– Perform any duties that may be assigned by immediate supervisor
QUALIFICATIONS AND EXPERIENCE
– Master’s degree preferred in information technology, translation or documentation. A bachelor’s degree with relevant experience is acceptable
– Computer literacy and fluency in oral and written English – non negotiable criteria
– Ability to work independently and as part of a team
